Dispatch

Knows the operation, not just the calendar

  • Won't free a car that's still on its way back

Drop a guest at the airport at 10:00? Polynoos adds the airport→hotel return drive from your pricelist before it ever treats that car as available. A 23:30 transfer with a 90-minute duration correctly blocks a 01:00 pickup the next morning. Geography- and time-aware, not just calendar-aware.

  • Red before you click, not red after

Open the driver or vehicle picker and unavailable options are already coloured red, with a tooltip showing the conflict — “Busy with Maria Johnson at 10:00 on 14 May.” Same for duplicate guests on the same date. You see the problem before you create it.

  • Live flight data, no manual lookups

Polynoos scrapes airport arrivals and departures in real time. Flight numbers autocomplete; statuses and delays propagate the moment they change; rows on the flights page that already have a transfer attached highlight yellow. Staff stop refreshing FlightRadar.

Live SKG arrivals board — scheduled and expected times, flights, airlines, terminals, and statuses

Dispatch like an operator, not a spreadsheet.

Replace shared Excel files, group chats, and printed schedules with one calendar every dispatcher trusts. Polynoos turns guest logistics from a daily fire drill into a predictable, auditable operation.

Drivers, vehicles, routes — and partner taxis in one pool

Catalogue routes with prices per vehicle type, override per partner agreement, and overflow to external taxi companies when the in-house fleet is booked. Insurance and KTEO expiries surface yellow before they bite, red the day a vehicle becomes uninsurable.

Print what drivers actually need

  • Pickup signs guests can read across the terminal

Landscape A4 with the guest's full name at ~100pt — in a serif specifically chosen for universal script coverage, so Greek, Latin, and Cyrillic names render identically. Drivers hold it overhead at arrivals; guests spot it before they reach the kerb.

  • Hotel-branded vouchers in one click

Per-property A4 voucher templates with your logo, address, contact details, and signature lines. Designed to fit even with long Special Instructions. Bulk-print every voucher for the day's program from the calendar.

  • WhatsApp-ready, from a single transfer to a full day

Copy a single transfer (a guest-shareable summary, or the full operational version with everything) or the entire day's program in WhatsApp *bold* formatting — driver programs use double-rule separators between names, the daily program uses single rules. Ready to paste into the driver group chat. The format is the message.

Vigilance

Warns first. Remembers everything.

  • Proactive alerts, not just records

Pickup reminders dispatch to drivers before they leave the depot. Flight-delayed alerts surface the moment the scraper sees a new ETA. The incomplete-fields nudge fires 1, 2, and 3 days before arrival if the flight or terminal is still blank. Problems get a voice before they get a casualty.

  • Per-event channels, per-event recipients

Each of the six event types picks its own channels — push, email, WhatsApp — and its own recipients: the creator alone, the entire workspace, or a hand-picked list. Templates personalise per recipient. Reception isn't pinged for driver-only events; dispatch isn't woken up for confirmations.

  • Field-level history, forever

Every change is recorded with the actor, timestamp, source (manual edit, PMS sync, automated reminder), and an optional reason note. When a transfer goes sideways, you know exactly who changed what, when, and why — even months later.

Wired into the platform

Transfers don't happen in isolation.

Native integration with every Polynoos module means a flight delay isn't just a notification — it's a room note in PMS, a new shift in HR, a guest message in Notifications. One change, every consequence handled.

Quick Fill from PMS — search PMS reservations by confirmation #, OTA ID, or guest name
With PMS

Watches the PMS so you don't have to

Polynoos monitors PMS reservations for changes. When a comment mentions a flight or an airport pickup, it checks for a matching transfer — and if none exists, the reservation department is notified to create one. If a transfer's flight or time disagrees with the PMS note, dispatch sees the inconsistency before anyone leaves for the wrong terminal. Quick-Fill from PMS in one click stays a single keystroke away.

With Notifications

Six events, six right moments

Created, confirmed, assigned, changed, completed, plus an incomplete-fields reminder fired 1, 2, and 3 days before arrival. Each event picks its channels — push, email, or WhatsApp — and its recipients independently: the creator, the workspace, or a hand-picked list.

With HR

Drivers are your team, not strangers

The driver pool pulls live from the HR directory — name, phone, schedule, history. When someone's off, the calendar already knows. No more out-of-date driver lists in someone's laptop.

How Polynoos handles airport timing

Polynoos stores every flight in airport-local time — the timezone the runway actually sits in — so a 14:25 arrival from London to Athens reads 14:25 to the dispatcher in Athens. No silent timezone drift, no off-by-three-hour airport pickups.

The incomplete-fields reminder fires automatically 1, 2, and 3 days before arrival if a flight, time, or terminal is missing — nudging the reservation creator while there's still time to ask the guest. By the time the driver leaves the depot, every detail is filled in or flagged to a supervisor.
